Cancellation, Refund, and Dispute Policy

  • Cancellation and Refund

You may cancel the services you have purchased, subject to the following conditions:

General Services:

  • Cancellation Period: You have the right to cancel your purchase within the period stated in the specific agreement or contract which governs your purchase of KLOC SAS services.
  • Cancellation Process: To cancel a service, you must notify us in writing by email at support@kloc.me or through any other designated communication channel. Please include your order number, contact details, and a clear statement of your intent to cancel.
  • Impact of Cancellation: If you cancel the service within the applicable period per the agreement, you may be eligible for a refund of 90% of the amount paid. The remaining 10% may be retained to cover administrative or processing fees associated with the cancellation.
  • After the Cancellation Period: If you wish to cancel after the cancellation period, refunds will be subject to the terms outlined in the service agreement you entered into with us.

Enrollment Services for Client Companies’ Customers:

For services related to the enrollment and execution of course registrations for client companies’ customers at educational institutions, the following cancellation policy applies, per the service agreements entered into with clients:

  • Add Date Defined: The “Add Date” refers to the first scheduled course start date as specified in the Enrollment Request, against which the client was invoiced and the payment was made.
  • Cancellation Before the Add Date: If the cancellation is made before the Add Date of the first course as specified in the Enrollment Request, you are eligible for a refund of 90% of the payment made. The remaining 10% may be retained to cover administrative or processing fees related to the enrollment service. You will also be offered the alternative to extend to your companies’ customers the opportunity of delayed enrollment at the next available enrollment window when an equivalent course is available. 
  • Cancellation On or After the Add Date: If the cancellation is made on or after the Add Date, the payment is non-refundable. This applies to all cancellations made once the first course in the enrollment schedule has commenced or is scheduled to commence, as the service will have already been initiated, and commitments may have been made to third-party institutions.
  • Non-Refundable Services: Certain services, such as bespoke consulting, specialized reports, or other custom services, may be excluded from refunds if they are linked to non-cancelable commitments or pre-paid fees to third-party institutions that cannot be reversed, and or if the service is specifically exempt as per your agreement with the Company.
  • Refund Process: If you are eligible for a refund, we will process it through the same payment method used for the original purchase, unless otherwise agreed. Refunds typically take 14 business days to process, depending on your payment provider.
  • Data Protection and GDPR Compliance

As part of processing payments, cancellations, refunds, and disputes, we collect and process personal data in compliance with the General Data Protection Regulation (GDPR) and relevant French laws. Please review our Privacy Policy for detailed information on how your data is collected, used, and protected.

  • Data Collection: When you purchase services, request a cancellation, or file a dispute, we collect necessary personal information, including but not limited to your name, email address, payment details, and any communications related to your inquiry.
  • Data Processing: The processing of your data is necessary for the performance of the contract and to comply with legal obligations, such as consumer protection and payment processing.
  • Retention of Data: We retain your data only for as long as necessary for the purposes for which it was collected, in accordance with applicable legal requirements. Personal data will be deleted or anonymized once it is no longer needed for these purposes.
  • Your Rights: Under the GDPR, you have the right to access, correct, delete, and restrict the processing of your personal data.   • Data Security: We implement appropriate technical and organizational measures to ensure the security of your personal data and protect it against unauthorized access, disclosure, or destruction.
  • Dispute Resolution 

  • Filing a Dispute: If you believe that a transaction is incorrect or you wish to dispute a charge, you must contact us within 5 days from the date of the transaction. You can file a dispute by emailing us at support@kloc.me . We will review your dispute and attempt to resolve the issue as quickly as possible.
  • Dispute Resolution: In the case of a dispute, we encourage both parties to resolve the matter through direct communication. If you feel the issue cannot be resolved through mutual discussion, we may escalate the matter to third-party arbitration or utilize other dispute resolution mechanisms as allowed under applicable laws in the EU and France.
  • Third-Party Payment Processors Dispute Process: If a chargeback or dispute is initiated through our third-party payment processor, you agree to cooperate fully with our investigation into the matter. We will provide necessary documentation and details to resolve the issue in accordance with our third-party payment processor’s policies and applicable law.
  • Legal Compliance and Consumer Protection

  • EU Consumer Rights: All transactions are subject to EU consumer protection laws, including those relating to the right to cancel, return, and request refunds. If you are a consumer under EU law, you have additional rights to cancel and request refunds as specified under Directive 2011/83/EU on consumer rights.
  • French Law Compliance: As a company based in France, we are subject to French consumer protection laws, which may provide additional rights and obligations. We adhere to these laws when processing cancellations, refunds, and disputes.
  • Force Majeure: The Company is not liable for any failure or delay in the provision of services or the processing of cancellations or refunds in cases of force majeure (e.g., natural disasters, government actions, or other unforeseen events).
